Médecins Sans Frontières (MSF), an international humanitarian medical organization established in 1971, provides medical assistance to populations whose survival is threatened by crises, primarily armed conflicts, but also epidemics, natural disasters and exclusion from care. The French section is present in about thirty countries.

MSF is looking to fill a new opened position as:

Logistics CMMS Tool Referent (M/W)

Mission :

A new software application for equipment and maintenance management called MEMO is being deployed on MSF fields. During 2017, a team of Logistics Software Application Trainers implemented the application and trained users on half of MSF fields. We plan to finish the deployment in 2018.

The Logistics CMMS Tool Referent is the key contact for any subject related to the tool: He/she is involved in the training and support of users and in changes of the settings of the tool.

Main responsibilities:

Give support and tips to the users of MEMO:

-Perform functional support for users.

-Assist users in solving problems related to their use of the tool (logistics practices translation in MEMO, technical difficulties, malfunctions, etc.).

-Centralize and assess incident reports and search for solutions to problems.

-Ensure the dissemination on the field of good practices and solutions to problems encountered.

-Ensure communication with users in case of planned downtime, major incidents, modification of a feature, etc.

Make changes in MEMO:

-Perform changes in the tool’s settings related to functional needs of fleet management processes, preventive and corrective maintenance management.

-Update reference data: mission / project management, user management, rights management, screen management, modification of maintenance plan templates.

-In collaboration with the Tool and Processes Supervisor, Head of Operational Logistics and the Operational Support Pole, ensure the consistency between the tool’s settings, the reference data and the OCP logistics policies.

-Maintain the reports in MEMO.

Train future MEMO users (field and headquarters):

-Participate in the definition / modification of training content.

-Facilitate headquarters training sessions (including briefings) and reinforce user competence level.

-Ensure practice errors are identified and corrected.

-Participate in the skill transfer to the field.

In charge of the good use of MEMO on the field and at headquarters:

-Monitor the use of MEMO (by data analysis, exchanges with users, predetermined reports, etc.).

-Facilitate the use of MEMO via newsletters, intranet, etc.

-Write or update the content of online help, e-learning and software user guides.

-Ensure the diffusion of e-learning and user guides on the field.

Control of specific developments of the software made by the publisher:

-Participate in the creation of change requests (related to functional needs) and discuss them with the software editor to define the required specific developments (to cater to MSF's needs).

-Flag the bugs to the editor and follow their resolution.

-Test new versions for deployment before the go-live.

Monitoring and analyze its activity:

-Analyze and report periodically about the activity for all missions.

-Ensure data reporting for all missions where the tool is deployed.

Contribute to the development of transversality:

-Work in close collaboration with other headquarters departments (IT, Logistics and Operations, Finance).

-Provide the required data to various services in headquarters in order to build dashboards.

-Participate in cross-cutting projects that require data input from MEMO.

Other activities:

-Field visits if training is needed.

-Involvement in intersectional effort on harmonization of practices and tools.


With the logistics stakeholders in headquarters (logistics department, Log Cells) regarding:

-The functionalities of the tool and the processes it covers with the Head of Operational Logistics (N+1).

-Fleet management and maintenance with the technical referents of the Operational Support Pole.

-Field data in the tool with Log Cells.

-Headquarters training with the Logistics Training Center (Ceforlog).

With the MEMO deployment team regarding:

-Deployment progress and support requirements for users in already deployed fields.

-Change requests in the setting of the tool.

With the field logistics team regarding:

-The difficulties encountered in their use of MEMO, their training needs and their change requests.

With the MEMO software editor regarding:

-The specifications, implementation monitoring and testing of specific development requests.

-The roadmap of the tool and our future needs.

Position's specificities :

Status: 1 year contract. Full Time. Based in Paris.

Professional skills :


-At least one experience as administrator and facilitator for a business application.

-Significant experience in NGOs or in the voluntary sector as logistician in the field would be an asset (especially with MSF).


-Advanced skills in application settings (CMMS software would be an asset).

-Advanced skills in Excel (PivotTable, formulas, etc.).

-A good understanding of the maintenance processes would be an asset.

Technical skills:

-Notions of MySQL databases.

-Notions of use of Java functions.


-Fluent in English and in French is required.

Contract duration :
12 months

Salary (€) :
40,7K€ over 13 months.
